A few clear photographs can explain the starting point better than a long equipment questionnaire. Show the system, the room around it and anything that may affect access.
Useful views of the house
For indoor equipment, take a wide view of the furnace or air handler and the ducts connected to it. Include nearby appliances and the way into the equipment space. Then photograph visible model labels and the thermostat.
For outdoor equipment, show the unit and the space around it. Include fences, gates, windows, steps and the route back toward the house where visible. If more than one unit serves the home, include the overall arrangement.
For a proposed ductless system, show the rooms you hope to condition and the wall locations you want to discuss. Leave equipment covers in place. A photo request is not a reason to open electrical or mechanical equipment.
Explain what you want to change
Describe the rooms that are uncomfortable, the times when you notice the problem and any relevant changes to the house. Mention equipment you hope to keep, a planned remodel or other work that could overlap with the installation.
If you have a service diagnosis or another proposal, keep the original document. UniColorado’s form accepts files so you do not have to copy prices and equipment lists into separate fields.
Access and placement
Let the team know about narrow stairs, locked spaces, stored items or a difficult route to the equipment. The estimate visit should establish how the work can be performed and how the old equipment will be removed.
For outdoor changes, discuss gates, paths and any association review process. A proposed location needs to be assessed for the selected equipment and the property. A photograph alone cannot prove required clearances or electrical suitability.

Bring the utility provider and service information needed for any incentive discussion. Use the actual account rather than assuming a program applies because the property is in Broomfield.
